How to Import Data from PST Files to Online Archive

INTRODUCTION:

Importing data from PST files to an online archive is important for managing and preserving email data. PST files are prone to corruption and are not recommended for storing email data. Microsoft offers an "Online Archive" option to address this issue, providing secure storage, auto expanding storage and easy data recovery. Here is a step-by-step guide for importing PST files to Online Archive for a smooth transition.

PROCEDURE:

Step 1: Prepare Your PST Files and Online Archive

Ensure that your PST files are accessible and not corrupted.
If necessary, use the Inbox Repair Tool (ScanPST.exe) to repair any issues with your PST files.
You will get this option automatically if you're trying to access an already corrupted PST file. The repair time depends on the size of the PST file, which is generally limited to a maximum of 50 GB.
Make sure the online archive is enabled and available on Outlook
If not enabled, reach out to the Service Desk.

Step 2: Use the Import and Export Wizard in Outlook

Open Outlook and go to File > Open & Export > Import/Export.
Select Import from another program or file and click Next.
Choose Outlook Data File (.pst) and click Next.
Browse to the location of your PST file and right click on it to select the option Copy as a path.
Paste the copied path and click on Browse to select the PST file, and choose the desired options for duplicates.
Select the folder to import from. You can choose to import the entire PST file or specific folders.
Choose the destination for the imported data. Select your online archive mailbox.
Click Finish to start the import process.

Step 3: Monitor the Import Process

The import process may take some time depending on the size of your PST file and the speed of your internet connection.
Ensure that your computer remains connected to the internet and Outlook remains open during the import process.
It is advised to not use the Outlook app during the import, so please use the online version of Outlook till then using the link : https://outlook.office.com/mail/

Step 4: Verify the Imported Data

Once the import process is complete, verify that the data has been successfully imported into your online archive.
Check for any missing or corrupted items and re-import if necessary.
